How we collect, use and protect your data — written in plain English.

1. Introduction

This Privacy Policy explains how Fertility Minds ("we", "us", "our") collects, uses, shares and protects your personal data when you use our mobile app and website (together, the "Service").

We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and — where applicable — the EU GDPR.

2. Who we are

Fertility Minds is a trading name of FERTILITY MINDS LTD, a company registered in England & Wales under company number 16617575, with its registered office at Director Generals House, 15 Rockstone Place, Southampton, England, SO15 2EP. FERTILITY MINDS LTD is the data controller for personal data processed through our Service.

3. What data we collect

Information you give us

  • Account information: name (or chosen display name), email address, password (encrypted), and date of birth (to confirm you are 18+).
  • Profile information: optional profile photo, bio, and the fertility journey stages you choose to share.
  • Content you create: mood check-ins, saved articles, community posts and comments, messages to other members or to our team.
  • Payment information: if you subscribe to Premium, your payment is processed by Apple or Google. We do not see or store your payment card details.

Information we collect automatically

  • Device and usage data: device model, operating system, app version, language, time zone, and crash logs.
  • App analytics: aggregated, anonymised usage data (e.g. which features are used) to improve the Service. We do not use third-party advertising trackers.

Sensitive data

Information about your fertility journey, emotional wellbeing and any health-related content you share is treated as special category data under UK GDPR. We process this only with your explicit consent, given when you sign up and again at relevant moments in the app.

4. How we use your data

We use your data to:

  • Provide and personalise the Service (e.g. suggest content based on your mood check-ins or chosen journey stage)
  • Operate community features (posts, comments, messages)
  • Process subscriptions and respond to support requests
  • Send essential service emails (e.g. account confirmation, security alerts)
  • Send optional product updates, only if you opt in
  • Improve the Service using anonymised analytics
  • Keep the Service safe — including detecting abuse, fraud and breaches of our Community Guidelines
  • Comply with our legal obligations

We do not sell your personal data. We do not use your data for advertising. We do not share your data with third-party advertisers.

We rely on the following legal bases under UK GDPR:

  • Contract: to provide the Service you've signed up for.
  • Consent: for marketing communications and processing of special category (health-related) data.
  • Legitimate interests: to improve the Service, ensure security, and prevent abuse — balanced against your rights.
  • Legal obligation: where we must process data to comply with the law.

6. When we share data

We only share your data with:

  • Service providers (sub-processors) who help us run the Service. These currently include: cloud hosting and content delivery (Cloudflare, Vercel), database and caching (MongoDB Atlas, Redis), authentication and push notifications (Google Firebase), subscription management (RevenueCat, alongside the Apple App Store and Google Play), transactional email (Brevo), media storage (Cloudflare R2 / Cloudinary) and error monitoring (Sentry). Each processes data only on our instructions, under contract and strict confidentiality terms. A current list of sub-processors is available on request.
  • Payment platforms — Apple App Store and Google Play handle subscription payments under their own privacy policies.
  • Authorities, only where legally required (e.g. court order, statutory request).
  • A future acquirer, if Fertility Minds is acquired or merged — your rights under this policy will continue to apply.

7. International transfers

Where data is transferred outside the UK or European Economic Area, we ensure appropriate safeguards are in place — typically the UK International Data Transfer Agreement or the EU Standard Contractual Clauses — and that recipients provide an equivalent level of protection.

8. How long we keep data

  • Account data: while your account is active, plus up to 90 days after deletion (for backup purges).
  • Community content: posts and comments are deleted with your account, except where another member has interacted with them — in which case they may remain in anonymised form.
  • Subscription and tax records: up to 7 years, as required by UK tax law.
  • Support correspondence: up to 2 years from last contact.

9. How we protect your data

We use industry-standard security practices including encryption in transit (TLS) and at rest, hashed passwords, access controls and regular security reviews. No system is perfectly secure — if we ever learn of a breach affecting your data, we will notify you and the Information Commissioner's Office (ICO) within 72 hours, as required by law.

10. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate or incomplete data
  • Erase your data (the "right to be forgotten") — see our account deletion page
  • Restrict or object to certain processing
  • Withdraw consent at any time, where consent is the legal basis
  • Receive your data in a portable, machine-readable format
  • Complain to a supervisory authority — in the UK, the Information Commissioner's Office (ICO)

11. Children's privacy

Fertility Minds is intended for adults (18+). We do not knowingly collect data from anyone under 18. If you believe a child has provided us with personal data, please contact us immediately and we will delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you in the app and by email before the changes take effect.
